Web Site Policy
Adopted by the Board of Directors on August 27, 1997
and modified October 26, 2002.

GOAL
The TSRA Web site
is intended as another means of facilitating the flow of information between
TSRA and its members. For those members with access to the Internet, it has
the singular advantage of rapid, and thus timely, transfer of information
relating to TSRA.
CONTENT
The TSRA Web site
is intended to be a compendium of up-to-date information relating to the
Association and the community it serves. As such, it contains documents
relating to TSRA governance, operation, and history. It contains minutes of
recent meetings of the Board of Directors, TSRA Committees, statements of
new TSRA policies as adopted, schedules of meetings and events, and
announcements. It provides links to other sites on the Internet that contain
current information on regional conditions of importance to the TSR
community, e.g., weather, road conditions and emergencies as they arise.
MAINTENANCE
The architects of
the Web site anticipate that changes, additions and updates to information
on the site will be required periodically.

Changes include
any associated with TSRA policy, procedures and schedules.

Additions
include 1) TSRA and other announcements of meetings, 2) new sections of
the Web site containing material or subject matter not previously
included, e.g. new links to other web sites containing information useful
to TSR and its membership, such as links to county or regional
organizations that have jurisdiction over some part of TSR governance, and
3) expansion of existing sections of the Web site, i.e., additions to the
FAQ section.

Updates include,
for example, the replacement of the previous month's BOD and committee
meeting minutes with their current counterparts.
WEB SITE COMMITTEE
In view of the
expertise required to implement the above, three or more volunteers will be
selected from the TSRA membership and appointed by the Community Manager to
serve on a Web Site Committee. The webmaster, who will make the actual
additions and changes to the Web site, will be a member of that Committee.
The Web Site Committee will be responsible for insuring TSRA’s Web site
complies with this policy statement.
PROCEDURE
The role of the
Website Committee is to collect additions, modifications, and updates of
existing information on the site and to put it in the proper format, which
will involve conversion of the text to standard web language (HTML or PDF).
The webmaster will integrate the new data with existing information on the
site, transfer it to the Internet server, and modify links within the Web
site as appropriate.
AUTHORIZATION
Any material given
to the webmaster by TSRA for inclusion on the Web site will be authorized by
the Community Manager. Any substantive modifications or additions to the
site by the webmaster will be made after approval by the Community Manager.
PRIVACY
TSRA members’
names, lot numbers, and addresses (street and P.O. box) will not be
available on or accessible from the Web site without express written
permission of the member/s. Phone and FAX numbers and e-mail addresses of
TSRA members will similarly not be accessible. However, it is anticipated
that the TSRA Owners’ Manual will be reproduced on the Web site, and the
Appendices of that document contain phone and e-mail addresses of certain
members who are contacts in case of emergencies and others who represent
local organized activity groups.
SECURITY
Any changes in the
Web site will be made only by the webmaster or other authorized individuals
after approval by the Community Manager. The webmaster will be responsible
for administering and maintaining the security of a special password set up
for this purpose.
COMMUNICATION
BETWEEN TSRA & THE WEBMASTER
TSRA will provide a
slot or box at the Association office into which all authorized additions,
updates, etc., which are destined for the webmaster, can be deposited.
Preferably these additions and changes will be transmitted to the webmaster
by e-mail or alternatively using a PC disk.
ROLE OF THE
COMMUNICATION COMMITTEE
The Communications
Committee will conduct an annual review of the Web site and make
recommendations to the Community Manager and the Web Site Committee
concerning management of the Web site and its contents.
